About The Studio Cancellation Policy
The Studio cancellation policy is the set of rules governing refunds when a client cancels after a booking has been confirmed. Cancellations made more than 30 days before the date of use are eligible for a refund subject to conditions; from 30 days before, 100% of the fee is charged.
Article 1: Purpose and scope
- These rules apply to bookings of Queen's Butler The Studio for photography, meetings and green rooms, location shoots and other uses.
- Cancellation means the client withdrawing all or part of a confirmed booking.
- The base rate, extended hours, butler attire, additional people and all other booked items are treated as a single booking to which these rules apply.
Article 2: Formation of the contract
- The contract is formed at the point when the client's payment of the fee to the Manor is confirmed.
- Cancellation after the contract is formed is subject to the refund conditions in these rules.
- No cancellation fee arises from consultation prior to confirming the booking.
Article 3: Cancellation more than 30 days ahead
- Where cancellation is made more than 30 days before the date of use, no butler has yet been assigned, and no preparatory work has begun, the fee is refunded.
- Even more than 30 days before the date of use, no refund is made once a butler has been assigned.
- Even more than 30 days before the date of use, no refund is made once preparatory work has begun.
- The booking ceases to be refundable at the point when either the butler is assigned or preparations begin.
Article 4: Cancellation within 30 days
- Where the client cancels from 30 days before the date of use, 100% of the fee is charged.
- Regardless of whether a butler has been assigned or preparations have begun, no refund is made from 30 days before.
- This article also applies where the booking is not used on the day.
Article 5: Partial cancellation
- Partial cancellation, such as withdrawing only part of the booked numbers, hours or extras, is not accepted.
- Where several items are booked together and some are subsequently not used, no reduction or refund is made from the booked fee.
- Additional people or supplementary requests should be discussed in advance, within the maximum of six and the Manor's conditions of use.
Article 6: Cancellation by the Manor and force majeure
- Where the Manor is unable to provide the booked use for its own reasons, the fee is refunded in full.
- Where public transport is paralysed by typhoon, earthquake, disaster or the like, and the assigned butler cannot reach the Manor so that the booking cannot go ahead, a full refund is given.
- Cancellation in advance at the client's own judgement is subject to the ordinary 30-day rule and the conditions following butler assignment or the start of preparations.
Article 7: Sharing booking details
- Before booking, please tell us the purpose of the shoot, preferred date and time, numbers, whether butler attire is required and in what size, whether pick-up is required, and any equipment to be brought in.
- Should information relevant to shoot preparations, attire or load-in arrangements change, please inform the butler as soon as it becomes known.
- Once preparations have begun on the basis of the client's information, the booking is not refundable even more than 30 days before the date of use.
Article 8: Confirmation before applying
- Please confirm the specific refund procedure with the butler before applying.
- If you wish to change the date, please consult us with the date of use and booking details before deciding on the change.
- If you are considering cancellation, please let us know the date of use, the plan booked, numbers, attire and the state of load-in preparations.

Once either the butler has been assigned or preparations have begun, the booking is not refundable even more than 30 days ahead.

The state in which the butler has begun to arrange the settings and running order within the Manor in detail, according to the rooms, furnishings, lighting and props to be used.

When load-in arrangements begin
The state in which the order of load-in and the routes through the Manor have begun to be arranged in detail for the equipment, items and placement of a location shoot or recording. The movement of up to six people and the positions that protect the furnishings are confirmed.

QIf I cancel more than 30 days ahead, am I always refunded?
Not always. A full refund applies only where no butler has been assigned and no preparations, whether for the shoot, attire or load-in, have begun.
QWhat if attire preparations begin before a butler is assigned?
As preparatory work has begun, the booking is not refundable. Butler assignment and the start of preparations are independent: no refund is made once either applies.
QPreparations have not begun, but a butler has been assigned.
As a butler has been assigned, the booking is not refundable even more than 30 days ahead. Butler assignment is treated as an independent condition, even where preparations have not yet begun.
QWill I be refunded for a reduction in numbers?
Reducing numbers alone is a partial cancellation, and no reduction or refund is made. If you wish to add people, please consult us early, within the maximum of six.
QWhat is charged if I cancel within 30 days?
From 30 days before the date of use, 100% of the fee is charged. No refund is made regardless of butler assignment or the state of preparations.
QWhat if I wish to cancel in advance because a typhoon is forecast?
Cancellation in advance at the client's own judgement is subject to the ordinary conditions. Where public transport is paralysed and the assigned butler cannot reach the Manor, so that the Manor itself cannot proceed, a full refund is given.
