Confirming your booking

Before booking, tell us the purpose, number of people, seating preferences, whether you will project, any food and drink you will bring, and whether you need pick-up. The butler confirms how the six hours will be used and the order of preparation.

Welcome at the door

On arrival the butler bows at the door and confirms your name and companions. They ask how coats and belongings should be handled and show you to the space prepared as a meeting room or green room.

Preparing equipment and papers

If you are using the Wi-Fi, power or the 120-inch screen, please check the connection and the picture before you begin.

Serving tea

Tea is served first to the guests you are receiving, set down quietly with an eye to the cup's handle and the position of papers.

Breaks and departure

During breaks, the butler checks the tea and the food and drink you have brought.

Included in half-day use

  • Six hours, for up to six people
  • Butler reception, seating arrangement, tea service and attending the doors
  • Wi-Fi and power points throughout
  • 120-inch screen, projection and sound equipment
  • Mirror and clothes rail (for green-room use)

Please bring your own

  • Meals (you may bring your own)
  • Minute-taking, interpreting, chairing
  • Printing, meeting papers, stationery, devices for projection
Before arrival

Sharing your purpose and participants before booking frees the six hours for conversation and preparation

For meetings, there is no need to tell us the substance of what you will discuss. Please share the number of participants, the size of your papers, whether you will project, any seating preferences and whether anyone joins online. The Queen's Butler butler arranges the route from door to seat, space for tea, and chair angles that keep sightlines to the screen from crossing.

For green-room use, sharing the number of costumes, whether you will change, the amount of luggage, your departure time and whether you need pick-up lets us prepare the Wardrobe and waiting area separately. While you change, the butler waits outside the Wardrobe door, within the Manor. Once you are ready, the mirror and the passage are tidied, and before you leave we check that no costumes or luggage have been forgotten.

The Manor does not provide meals, but you are welcome to bring food and drink. For anything strongly scented, containing liquid or needing to be transferred to dishes, please discuss it when booking. The butler shows you where containers can stand securely, away from the furnishings and papers. Those with allergies should check ingredients among themselves.

DressThere is no dress code for meetings or green-room use. As you will move about the Manor, please bring a change of footwear if your costume is hard to walk in.
Rainy daysMeetings and preparations indoors go ahead whatever the weather. If you wish to use pick-up (part of the plan; availability confirmed at booking), we check the chosen location among the five, traffic conditions and safe boarding conditions, and adjust the times.
Four-hour design

Six hours are easier to use when arrival, main business, breaks and departure are marked out in advance

Planning a half day means thinking not only of when the meeting starts, but of everything from checking the equipment to preparing to leave, as one continuous whole. After arrival, coats and luggage are settled and the picture and sound to be projected are checked on your own devices. Once everyone has gathered, the butler serves tea and the main business begins.

At the end, allow time to gather papers, storage media and devices so that clearing away is complete within the six hours. The butler does not act as chair, so please decide in advance who will call the breaks and the close.

For meetings combining in-person and online participants, we first check the seats facing the screen and the positions of those speaking. What is projected on the 120-inch screen, the extent to which sound is used and the devices needed to connect are for you to provide. The butler arranges a layout that keeps power points and passages clear, and sets drinks away from the equipment.

Reviewing papers at the desk in the Study while planning the half day
QIs it safe to discuss confidential matters?
A

After serving tea, the butler remains in the room but waits at a distance from the conversation. Managing confidential information, recordings and the collection of papers is your own responsibility. Please discuss the distance you need and the timing of tea service when booking.

QCan we hold online meetings?
A

Yes. Wi-Fi, the 120-inch screen and the sound system are available. Please bring your own camera.

QCan we book for just two hours?
A

Meeting & Green Room (Half Day) is a six-hour plan. For shorter bookings, please ask, stating the purpose, number of people and the time needed for set-up and clearing away.

QIs pick-up available when using the Manor as a green room?
A

The butler drives a black Alphard on return journeys between the Manor and Tokyo Teleport Station, Tokyo International Cruise Terminal Station, DiverCity Tokyo Plaza, Aqua City Odaiba and Decks Tokyo Beach, for up to six people. Pick-up is a service that forms part of your plan. As there are days when the vehicle is unavailable, availability is confirmed when you book. Boarding times are agreed in advance and set after checking traffic conditions.

QMay we bring food and drink?
A

You may bring food and drink, but the Manor does not provide meals. Please discuss containers and tableware, and anything scented or containing liquid, in advance. Tea is included in the half-day plan.

QAre the butlers male or female?
A

Both male and female butlers are in residence. If you have a preference, please tell us when booking. In keeping with the purpose of your meeting or green room, the butler handles reception, tea, and the arrangement of seats and luggage.
